How to Import _ Export Data in Ad-Din Web Portal

You need to use a CSV (comma-separated values) file for Import / Export Operations.

Understanding CSV files

CSV stands for Comma Separated Values, and it's a file format (.csv) for spreadsheets. Ad-Din Web Portal accepts the import and export of CSV files for below modules.

CSV files might seem intimidating at first, but when you understand what the text and characters represent in a spreadsheet, you might use it for some bigger tasks (such as bulk importing/editing above modules.
CSV files with UTF-8 encoding are the only file format that can be used to import to or export from AD-Din Web Portal.
In a CSV file, each entry represents a cell in a spreadsheet, each line represents a new row, and each comma indicates where one entry ends and another one begins.
For example, the entries in this Students CSV file:

When you export a CSV file from your Ad-Din Web Portal, it opens as a .csv file in your computer's native text editor such as Notepad. You can also use an alternative text editor, but it's recommended that you use a spreadsheet program to view and edit your CSV files instead.

Caution

If you are updating a CSV file export, then remember to confirm the UTF-8 encoding to avoid generating unwanted special characters in your file. If you save your file after forgetting to confirm its UTF-8 encoding, then your data will be corrupted when you upload it as a new spreadsheet. Ad-Din team can't recover corrupted files for you.
If you are using Microsoft Excel, you can export the file again w hich will take care of the UTF-8 issues for you.

Note

Ad-Din Team recommends that you use Microsoft Excel to work with your CSV files. First add some entries manually in the desired module than export to CSV > Unzip the file and place it on your C Drive in Folder Called "Ad-Din" > open your Microsoft Excel > click File > Open > Browse to folder location where the Exported CSV file is located > change the File types to All Files (.) > you will now see the CSV file, Select to open it. After you've made your changes, Click on File > Save. When prompted Say Yes.

Avoid Special characters as they don't work correctly in CSV files.
If you don't have a spreadsheet program, then you can edit CSV files using a text editor.

Caution

You should only use a text editor as a last resort. For example, use a text editor if there are formatting errors in your CSV file and you cannot open it in a spreadsheet program.
Most computers have text editors that can open CSV files

Note

A CSV file with UTF-8 encoding is the only file format that can be used to import to or export from Ad-Din Web Portal.

Import Data

Your Account must have Madrasah Admin rights to perform this activity.
We recommend you always add few records manually but very accurately in above supported modules, then do an export which will give you a full working sample file from that module, unzip that file in your working folder, open and Save it as Excel format so you can update the desired data using the powerful Excel formulas.
Understand the data values, the columns and format prior to working with exported CSV file. If unsure we highly recommend to avoid the Import / Export as it may screw up your account big time and you may have to start from scratch. Support for this type of incidents from Ad-Din is chargeable service.

Warning

  1. Do not change the Column Names,
  2. Do not add a new column, temporary columns for work purpose are fine but do ensure to remove them after you are done.

When done and Export the file to CSV format as explained above. And go to the same module in Ad-Din Web Portal and click on Import button > provide the exported csv file and click on Import > voila! your data will be successfully imported.

Exporting data in CSV file is a great way to build meaningful custom reports and temporary data mining.
Exporting Data from supported modules mentioned above is an easy task, all you need is a click on an Export Button . Depending on the browser you are using it will either prompt you to Save or will Save the exported file in your download folder.
